Sophie, Nation AI

You’ve decided to leave: now the letter

You found a new job, you’re moving, or you simply don’t want to stay. The decision often took weeks, and the letter is what stalls: how formal should it be, do you give a reason, when does your notice start, how do you ask to leave sooner without burning bridges?

Sophie, Nation AI’s administrative assistant, writes a clear and courteous resignation letter with you. You tell her your situation, she drafts a first version, and you fill it in, reread it, sign it and hand it in yourself.

What Sophie does (and what she doesn’t)

What Sophie does well:

  • drafts a two weeks’ notice letter, a resignation with the notice period in your contract, or a short resignation email;
  • adds, if you want, a request to shorten your notice or a specific last day;
  • adapts the tone: neutral and brief, or warmer if you’re leaving a team on good terms;
  • puts missing details in brackets (start date, job title, notice period) instead of making you fill in a long questionnaire;
  • also prepares the message to your manager, a goodbye note to your team or a list of things to sort out before you go.

What she doesn’t do:

  • she doesn’t know your contract, handbook or local law until you tell her: paste the notice clause if you have it;
  • she doesn’t send or hand in anything for you;
  • she can be wrong about a rule, especially since rules differ by country and state: check your contract and government sources;
  • she helps you write and understand, but she isn’t a lawyer: if there’s a dispute with your employer, talk to an employment lawyer, your union or your local labor office.

How much notice do you need to give?

The answer depends on where you work and on your contract.

Where you workNotice you usually giveWhere to check
United StatesNo legal minimum for most jobs (at-will employment); two weeks is the professional normyour offer letter, contract, handbook or union agreement
United KingdomAt least one week by law once you’ve worked there for a month; often longer under your contract (one month is common)your contract of employment; GOV.UK
Canada, India, Australia and elsewhereUsually set by your contract or appointment letter, sometimes by local lawyour contract and your national or provincial labor office

If your contract sets a notice period, follow it: leaving early can cost you pay, a good reference or, in some jobs, a contractual penalty. Your notice usually starts on the day you hand in your letter.

In the US, your employer can also accept your resignation and end your job right away. State law decides when your final paycheck is due and whether unused vacation time is paid out.

Only resign without notice if you have to (health, safety, a serious problem at work), and check your contract first: some require notice or let the employer withhold pay.

What to give Sophie

What makes the letter accurate

Give Sophie:

  • your job title, your employer and your start date;
  • the country or state where you work;
  • your notice period, or the clause of your contract or handbook, pasted in;
  • your planned last day, and how you’ll hand in the letter (in person, by email);
  • what else to ask: a shorter notice period, details about final pay, a reference;
  • the tone you want, and what you want to say or not say about your reasons (you don’t have to give any).

Missing a detail? Sophie leaves a field in brackets and keeps going.

3 requests ready to paste

  • “Write my two weeks’ notice letter. I’m a marketing coordinator at [Company] in Texas, I started in March 2022, and my last day will be November 21. Thank my manager, Jordan, for the mentoring. Keep it to half a page.”
  • “I work in the UK and my contract says one month’s notice. I’m handing in my resignation on 7 November and would like to leave on 28 November for a new job. Write the letter with a polite request to shorten my notice, then a short message to my manager before our meeting.”
  • “I need to resign effective immediately for health reasons. Write a short, professional email to HR that doesn’t go into details and asks how I return my laptop.”

Handing in your letter

Tell your manager in person or on a call first if you can, then send the letter right after, by email or on paper. Keep a copy, and the email or a signed acknowledgment showing the date: it’s the start of your notice.

During your notice, keep working normally and plan the handover. Before you leave, check your final paycheck, any unused vacation or holiday pay, your benefits (health insurance, retirement plan) and the return of company equipment. In the UK, your employer gives you a P45 after you leave.

Quitting and unemployment benefits

In most places, quitting a job makes you ineligible for unemployment benefits, unless you had a good reason that the rules accept. In the US, each state decides what counts as good cause; in the UK, Universal Credit can be reduced for a while if you leave without a good reason. If money will be tight, check your state or national rules before you resign.

How to use Nation AI on this page

The chat is at the top of this page, with Sophie’s photo. Nothing to install.

  1. Describe your situation in one or two sentences: your job, your country or state, your notice period and your last day.
  2. If needed, paste the notice clause from your contract or handbook.
  3. Sophie drafts a first version, with brackets wherever a detail is missing.
  4. Ask for changes: shorter, warmer, with a request to shorten your notice, as an email.
  5. Copy the text, fill in the brackets, reread, sign and hand it in yourself.

You can also talk to Sophie with the chat’s microphone; she replies in writing. Nation AI runs on GPT models, with Mistral as a backup; it’s an independent service, not affiliated with OpenAI. To learn more about Sophie, see her profile.

Pricing: free trial, then paid plans if you need them

The trial is free, with no sign-up: no account, no email, no card. A few messages are included: for a resignation letter, it’s a chance to see whether the first draft works for you. For regular use, commitment-free paid plans are available: see the pricing page for details.

Good habits before you hand it in

  • Reread every detail: names, job title, dates, notice period, last day.
  • Check your notice period in your contract or handbook, and the rules where you work.
  • Keep it short and positive: a resignation letter isn’t the place to settle scores.
  • Share no more than needed in the chat: no Social Security or National Insurance number, no bank details. Leave brackets and fill them in afterward.
  • Keep a copy of the letter and of the proof that you sent it.
  • If there’s a disagreement with your employer, get help: an employment lawyer, your union or your local labor office.

Frequently asked questions

How do I write a resignation letter with AI?

Tell Sophie your job title, your employer, your start date, your notice period and your last day. She drafts a first version with brackets for anything missing. You fill them in, reread the letter and hand it in yourself.

In most US jobs, no law requires it: two weeks is a professional courtesy, unless your contract, handbook or union agreement says otherwise. In the UK, you must give at least one week once you’ve worked for your employer for a month, and usually the longer notice in your contract.

You don’t have to. A short, positive letter is usually best: the date of your last day, a thank-you, and an offer to help with the handover. Keep detailed feedback for an exit interview if you want to give it.

Usually, yes, unless your contract asks for a written letter delivered in a particular way. Email has the advantage of showing the date you resigned. Tell your manager first if you can, and keep a copy.

In the US, with at-will employment, yes: your employer can accept your resignation and end your job right away. In the UK, your employer can usually put you on garden leave or pay you instead of notice only if your contract allows it.

Only if your employer agrees. Once you’ve resigned clearly, your employer can accept it and start replacing you, so take time to decide before you hand in the letter.

Usually not, unless you had a reason the rules accept as good cause. In the US, each state decides; in the UK, leaving a job without a good reason can reduce Universal Credit for a while. Check the rules before you resign.

You’re paid for the time you worked up to your last day. In the US, state law sets when the final paycheck is due and whether unused vacation is paid out; in the UK, you’re paid for statutory holiday you’ve built up and not taken.
